For meeting and event planners

How we work with San Diego meeting planners and convention managers

Most of the people who hire us in San Diego are meeting planners, event planners, association executives and convention managers running a multi day program on the bayfront. Here is what you need before you put a photographer on the RFP.

Multi day conference coverage

A three day San Diego annual meeting is quoted as one engagement, with hourly coverage across the whole program rolled into a single clear price. Send the run of show and we build around opening reception, general sessions, breakouts, the exhibit hall and the closing gala.

Second photographers when rooms overlap

When breakouts run concurrently or the gala overlaps a sponsor event, we add a second photographer from a small team trained in house rather than subcontracting to whoever is free that week.

Same day turnaround and deliverables

Edited frames reach your shared folder throughout the show so your social, press and sponsorship teams can use them live. Full gallery the same day, organized by session rather than dumped as one folder.

Full usage rights, no drip pricing

Unlimited usage rights for marketing, press, sponsor recaps, next year’s promotion and your website. No per image licensing and no surprise reuse fees later.

Certificate of insurance for your venue

Professional liability with a certificate naming the San Diego Convention Center, the Manchester Grand Hyatt or your hotel as additional insured, normally back within one business day of the request.

RFP ready proposals

A written proposal with a named photographer, hours, deliverables and turnaround already in it, in a format you can drop straight into a sourcing packet or board approval.

VIP, keynote and sponsor priority shots

Give us the shot list that matters: VIP arrivals, the board photo, the sponsor logo wall, the ribbon cutting, the award handoff. Those get shot first and delivered first.

Registration, networking and attendee candids

The frames that sell next year’s San Diego conference are rarely the podium shots. Registration, networking breaks, hallway conversations and a room that reads genuinely full.

FAQ: Questions we get asked

What drives the cost of San Diego convention photography?

Four levers: number of days, number of photographers, hours per day, and how fast you need files. A one day exhibitor booth shoot prices nothing like a four day association program with a San Diego headshot lounge and hourly delivery. Send your run of show and we come back with a scoped number, not a range.

How fast do we actually get the photos?

Selected edited frames go up to your shared folder throughout the show, so your social and press teams have usable images the same day. The complete gallery is finalized the same day as well. If the venue wifi is unreliable we back everything up on site and upload from the studio that night.

Which San Diego venues have you worked?

San Diego Convention Center, Hilton San Diego Bayfront, Manchester Grand Hyatt, Marriott Marquis San Diego Marina, the Gaslamp Quarter, La Jolla conference hotels, and the USS Midway Museum. We have shot these rooms repeatedly and we arrive knowing the light and the load in.

How does booth photography work at the Convention Center?

Two passes. We shoot your booth clean before doors open, structures lit and verticals straight, with no crowd and no coffee cups. Then we come back during exhibitor hours for staffed and demo coverage. Both passes get scheduled against the show’s official move in and open times before we arrive.

Do you run headshot stations and on site printing?

Yes, and the headshot station is one of the strongest lead magnets on a floor. Backdrop, studio lighting, intake with email capture, each attendee emailed their headshot with your branding, and the full name and email list delivered to you. On site printing is available for activations where attendees leave with a print in hand.

Are you familiar with San Diego’s major venues?

Yes. We know the Convention Center, the Hilton San Diego Bayfront and the Manchester Grand Hyatt well enough to walk in without a scouting day.

How far ahead should we book?

One to three months for a major show. The strongest photographers fill their calendars around large conventions and San Diego weeks book out first. If your show is sooner than that, call anyway, we take short notice work when the calendar allows.

What makes a convention photographer different from a general event photographer?

Show floors have rules that portrait and wedding shooters never train for. Silent operation during live sessions, badge and credential compliance, exhibitor NDAs, sponsor obligations, and delivery measured in hours rather than weeks. Thirty nine years on trade show floors is the difference. If you are comparing bids, here is how to hire a convention and tradeshow photographer.

Are you insured, and can you provide a certificate of insurance for the venue?

Yes. We carry professional liability and can issue a certificate of insurance naming the San Diego Convention Center or your hotel property as additional insured, normally within one business day of the request. Every camera records to dual cards, so there is no single point of failure on your files.

Do you cover corporate events, annual meetings and expos, or only trade shows?

All of it. Annual meetings, association conferences, corporate general sessions, breakout rooms, awards dinners, product launches, and expo floors are the same work to us. Tell us the format and the run of show and we scope the coverage around it.

Do you shoot video and B-roll at San Diego events?

Yes. We run 4K video alongside the stills on the same booking, so you are not coordinating a separate San Diego videographer and photographer who have never worked a floor together. You can take the footage raw off the camera so your editor or agency has the full take, or we deliver a finished edit: highlight reels, sizzle pieces, session recaps, and testimonial cuts. Recent example: photography and a finished video for ADNOC at the Middle East Institute 80th Anniversary Gala in Washington D.C. Tell us which way you want it and we scope it with the photography.

Tell us your dates and your venue

We will come back with availability and a flat hourly quote. Conventions, exhibitor booths, keynotes, and headshot stations across San Diego.
