We bring a full studio to your show floor. Backdrop, studio lighting, intake with email capture, and every attendee emailed their retouched headshot carrying your logo and your colors, usually before they leave the hall. You get the complete name and email list back.
Corporate headshot stations at conventions and trade shows

FAQ: Questions we get asked
Do you travel, or only work Texas?
We travel nationally and internationally. Texas is where our studios are, but a large share of our work is out of state, and travel is quoted as a flat line item up front so there is never a surprise after the show.
What drives the cost of convention photography?
Four levers: number of days, number of photographers, hours per day, and how fast you need files. Send your run of show and we come back with a scoped number, not a range.
How fast do we actually get the photos?
Selected edited frames go up to your shared folder throughout the show, so your social and press teams have usable images the same day. The complete gallery is finalized the same day as well.
Do you run headshot stations and on site printing?
Yes, and the headshot station is one of the strongest lead magnets on a floor. Backdrop, studio lighting, intake with email capture, each attendee emailed their headshot with your branding, and the full name and email list delivered to you.
Are you insured, and can you provide a certificate of insurance?
Yes. We carry professional liability and can issue a certificate of insurance naming your venue as additional insured, normally within one business day. Every camera records to dual cards, so there is no single point of failure on your files.
Do you shoot video as well as photography?
Yes. We run 4K video alongside the stills on the same booking. You can take the footage raw off the camera for your editor, or we deliver a finished edit: highlight reels, sizzle pieces, session recaps and testimonial cuts.
How far ahead should we book?
One to three months for a major show. The strongest photographers fill their calendars around large conventions, and spring and fall weeks book out first. If your show is sooner, call anyway.
What makes a convention photographer different from a general event photographer?
Show floors have rules that portrait and wedding shooters never train for. Silent operation during live sessions, credential compliance, exhibitor NDAs, sponsor obligations, and delivery measured in hours rather than weeks.
Do you photograph annual meetings and association conferences?
Yes. Association annual meetings are a large part of our calendar, including general sessions, breakout rooms, poster halls, awards banquets and the exhibit floor. Tell us your run of show and we scope photographers by room rather than guessing.
Can you cover multiple cities for the same client in one year?
Yes, and it is common. Clients who run a national roadshow or a multi city user conference use the same crew in every market, so the look, the file naming and the delivery folder structure stay identical from city to city.
Can we book a photographer for our exhibit booth only?
Yes. Booth only coverage is our most requested package for exhibitors. We shoot the booth clean before doors open, then return during exhibitor hours for staffed and demo coverage, and you get the edited set the same day.
What convention centers and hotels do you work in?
We have worked the San Diego Convention Center, the Kay Bailey Hutchison Convention Center in Dallas, the Fort Worth Convention Center, the Phoenix Convention Center, the Henry B. Gonzalez Convention Center in San Antonio, the Sands Expo in Las Vegas, and hotel conference properties including the JW Marriott San Antonio Hill Country, the Hilton San Diego Bayfront and the Manchester Grand Hyatt. If your venue is not on this list, tell us where it is and we scope it the same way.
Do you run headshot stations outside Texas?
Yes. The headshot station travels. We have run stations at conventions in San Diego, Phoenix, Chicago, Orlando and Las Vegas as well as across Texas, and the kit, the workflow and the same day email delivery are identical wherever we set up.
How many headshots can you shoot in a day at a trade show?
It depends on your booth traffic and how many stations you run, but a single station comfortably handles a steady line through exhibit hours. If you are expecting heavy volume we add a second station and a second photographer rather than letting a queue build.
Do attendees get their headshot retouched?
Yes. Every headshot that goes out is colour corrected and retouched, delivered by email with your branding on it. Attendees are not receiving a raw snapshot, which is the difference between a station people talk about and one they walk past.
