Convention and Trade Show Photographers, Nationwide

Where we work
Every photo below was shot in the city it names. We are a nationwide convention and trade show photography team with Texas offices in San Antonio, Austin and Houston, and these are the markets we work most. Beyond these we regularly cover conventions, annual meetings and corporate programs in Nashville, Denver, New York, Washington DC, Atlanta, Anaheim and New Orleans, we work Toronto and Canada on a regular basis, we cover conventions and congresses in Europe on request, and we hold dates anywhere a show lands.

International convention photography
Conventions and corporate meetings outside the United States
Nationwide is the floor, not the ceiling. When an association or a corporate meeting moves its annual program across a border, the same convention photographer travels with it, on the same contract, with the same next morning gallery. Toronto is the city we work most outside the United States. We cover European conventions, congresses and incentive programs on request.
Toronto and Canada
Canadian association annual meetings, corporate conferences and trade shows are a regular part of our year. Available for programs at the Metro Toronto Convention Centre, the Beanfield Centre and downtown Toronto conference hotels, with the same crew that covers your United States dates.
Europe on request
Occasional coverage of European congresses, corporate meetings and incentive programs. Give us a little more lead time and we handle equipment documentation, venue permissions and local logistics before we land.
One flat travel line
International airfare, lodging, per diem and customs paperwork are quoted as a single line in your proposal. Your procurement team sees one number to approve, not a pile of receipts to reconcile after the show.
The same delivery clock
Selects edited overnight in the local time zone and posted to your gallery, so your communications team and your sponsors wake up to images whether the meeting is in Toronto, in Europe or back home in Texas.
The same shot list abroad
General sessions and keynotes, breakouts, exhibit floor and booth coverage, headshot lounges, sponsor activations, awards banquets, registration and attendee candids. Your international program gets the deliverables your domestic program gets.
One photographer your board already knows
Hiring a stranger through a local agency in each country means explaining your VIPs, your sponsor obligations and your must get shots all over again every time. We show up already knowing them.

Headshot stations, anywhere in the country
We bring a full studio to your show floor. Backdrop, studio lighting, intake with email capture, and every attendee emailed their retouched headshot carrying your logo and your colors, usually before they leave the hall. You get the complete name and email list back.
Corporate headshot stations at conventions and trade shows
The strongest lead magnet on an exhibit floor. Attendees queue for a professional headshot, and every one of them hands you their contact information to get it.
Executive and team headshots on location
Board portraits, leadership headshots and full team sessions shot in a meeting room at your hotel, on the same trip as your conference coverage.
On site printing and social media stations
Branded prints in hand before an attendee leaves the booth, and images sized for LinkedIn and your channels within the hour.
We have run headshot stations at conventions in San Antonio, San Diego, Dallas, Austin, Houston, Phoenix, Chicago, Orlando and Las Vegas, and we travel anywhere a show lands.
What we photograph
Convention and conference photography
Keynotes, general sessions, breakouts and the room reacting to them. Fast glass and no flash, so house lighting stays intact.
Trade show and exhibitor photography
Your booth shot clean before doors open, then again working: staff mid conversation, product demos, badge scans and branding.
Headshot stations and lounges
A full station inside your booth. Each attendee emailed their headshot with your branding, and the name and email list delivered to you.
On site printing and social media stations
Branded prints in hand before an attendee leaves the booth, and images sized for your channels the same hour.
Medical and healthcare conference photography
Compliance aware coverage for healthcare meetings, including exhibit halls, podium sessions and poster halls.
Video and B-roll
4K video shot alongside the stills on the same booking. Take the footage raw for your own editor, or we deliver a finished edit.
Why organizers book us
Same day delivery, on site
Edited frames upload to your shared folder hourly while the show runs, catalogued by day and session. Your social team posts while the hashtag is still moving.
One team for photo and video
You are not coordinating a photographer and a videographer who have never worked a floor together. Same booking, same crew, same delivery.
Thirty nine years of show floors
Silent operation during live sessions, badge and credential compliance, exhibitor NDAs and sponsor obligations. Show floors have rules portrait and wedding shooters never train for.
For meeting and event planners
How we work with meeting planners and convention managers nationwide
Most of the people who hire us are meeting planners, event planners, association executives and convention managers running a multi day program that does not stay in one city. Here is what you need to know before you put a photographer on the RFP.
Travel quoted as one flat line
No airfare, lodging, mileage or per diem appearing after the fact, and no day rate that quietly multiplies. You get one number that covers the crew getting to your city and staying there for the length of the program.
The same crew when your meeting moves
Association annual meetings rotate. When yours moves from San Antonio to Orlando to San Diego, the same photographer follows it, so year three looks like year one instead of like a different vendor.
Multi day coverage, not stitched day rates
A three or four day program is quoted as one engagement. Send the run of show and we build around the opening reception, general sessions, breakouts, the exhibit hall, the awards gala and load out.
Deliverables organized for the people using them
Galleries catalogued by day and session, so your marketing, press and sponsorship teams can find the frame they need without scrolling through thousands of files. Turnaround is same day, not next week.
Full usage rights, no drip pricing
Unlimited usage rights for marketing, press, sponsor recaps, next year’s promotion and your website. No per image licensing and no reuse fees surfacing later.
Certificate of insurance for any venue
Professional liability with a certificate naming your convention center, hotel or offsite venue as additional insured, in whichever city you are in, normally back within one business day.
VIP, keynote and sponsor priority shots
Send the shot list that actually matters: VIP arrivals, the board photo, the sponsor logo wall, the ribbon cutting, the award handoff. Those get shot first and delivered first.
Registration, networking and attendee candids
The frames that sell next year’s meeting are rarely the podium shots. Registration, networking breaks, hallway conversations and a room that reads genuinely full.
FAQ: Questions we get asked
Do you travel, or only work Texas?
We travel nationwide and internationally. Texas is where our offices are, in San Antonio, Austin and Houston, but a large share of our work is out of state. We are in Toronto and other Canadian cities on a regular basis and we cover conventions in Europe on request. Travel is quoted as a flat line item up front, domestic or international, so there is never a surprise after the show.
Do you photograph conventions outside the United States?
Yes. Toronto is the city we work most outside the United States and we are in Canada on a regular basis. We cover European conventions, congresses and corporate meetings on request. International travel, lodging and customs paperwork are quoted as one flat line up front, exactly the way domestic travel is.
Can the same photographer who covers our US meeting cover our Canadian one?
That is the main reason planners keep one photography team instead of booking a local agency in each city. The photographer who already knows your board, your sponsors and your must get shot list gets on the plane, so nothing has to be explained from scratch to a stranger on the morning of general session.
What drives the cost of convention photography?
Four levers: number of days, number of photographers, hours per day, and how fast you need files. Send your run of show and we come back with a scoped number, not a range.
How fast do we actually get the photos?
Selected edited frames go up to your shared folder throughout the show, so your social and press teams have usable images the same day. The complete gallery is finalized the same day as well.
Do you run headshot stations and on site printing?
Yes, and the headshot station is one of the strongest lead magnets on a floor. Backdrop, studio lighting, intake with email capture, each attendee emailed their headshot with your branding, and the full name and email list delivered to you.
Are you insured, and can you provide a certificate of insurance?
Yes. We carry professional liability and can issue a certificate of insurance naming your venue as additional insured, normally within one business day. Every camera records to dual cards, so there is no single point of failure on your files.
Do you shoot video as well as photography?
Yes. We run 4K video alongside the stills on the same booking. You can take the footage raw off the camera for your editor, or we deliver a finished edit: highlight reels, sizzle pieces, session recaps and testimonial cuts.
How far ahead should we book?
One to three months for a major show. The strongest photographers fill their calendars around large conventions, and spring and fall weeks book out first. If your show is sooner, call anyway.
What makes a convention photographer different from a general event photographer?
Show floors have rules that portrait and wedding shooters never train for. Silent operation during live sessions, credential compliance, exhibitor NDAs, sponsor obligations, and delivery measured in hours rather than weeks.
Do you photograph annual meetings and association conferences?
Yes. Association annual meetings are a large part of our calendar, including general sessions, breakout rooms, poster halls, awards banquets and the exhibit floor. Tell us your run of show and we scope photographers by room rather than guessing.
Can you cover multiple cities for the same client in one year?
Yes, and it is common. Clients who run a national roadshow or a multi city user conference use the same crew in every market, so the look, the file naming and the delivery folder structure stay identical from city to city.
Can we book a photographer for our exhibit booth only?
Yes. Booth only coverage is our most requested package for exhibitors. We shoot the booth clean before doors open, then return during exhibitor hours for staffed and demo coverage, and you get the edited set the same day.
What convention centers and hotels do you work in?
We have worked the San Diego Convention Center, the Kay Bailey Hutchison Convention Center in Dallas, the Fort Worth Convention Center, the Phoenix Convention Center, the Henry B. Gonzalez Convention Center in San Antonio, the Sands Expo in Las Vegas, and hotel conference properties including the JW Marriott San Antonio Hill Country, the Hilton San Diego Bayfront and the Manchester Grand Hyatt. If your venue is not on this list, tell us where it is and we scope it the same way.
Do you run headshot stations outside Texas?
Yes. The headshot station travels. We have run stations at conventions in San Diego, Phoenix, Chicago, Orlando and Las Vegas as well as across Texas, and the kit, the workflow and the same day email delivery are identical wherever we set up.
How many headshots can you shoot in a day at a trade show?
It depends on your booth traffic and how many stations you run, but a single station comfortably handles a steady line through exhibit hours. If you are expecting heavy volume we add a second station and a second photographer rather than letting a queue build.
Do attendees get their headshot retouched?
Yes. Every headshot that goes out is colour corrected and retouched, delivered by email with your branding on it. Attendees are not receiving a raw snapshot, which is the difference between a station people talk about and one they walk past.
