The run of show
What a convention photographer actually does, hour by hour
Most photography quotes are a flat estimate and a promise. Here is the shape of an actual multi day program, and what you get out of each part of it. Planners tell us this is the page they wish every vendor had.
Load in and the empty hall
Before a single attendee badges in, we shoot the room the way your sponsors and your board want to remember it. Clean stage, lit signage, empty exhibit aisles, branding still crisp.
These frames are the ones that go in next year’s prospectus, because you cannot get them again once four thousand people are in the building.

Registration and the first morning
Badge pickup, the coffee line, the first handshakes. This is where you get the frames that prove the room felt full and worth flying in for.
We shoot registration deliberately, not incidentally. It is the section most photographers skip and most marketing teams end up needing.
General session and keynote
Clean stage frames of every speaker with the screen readable behind them, plus the reverse angle: the audience leaning in, laughing, taking notes. A keynote photo without the room in it only tells half the story.
Keynote and general session coverage includes award presentations, panel discussions and the walk on and walk off moments that make a highlight reel work.

Breakouts and concurrent sessions
When four rooms run at once, one photographer cannot be in all of them. We staff a second shooter and split the run of show, since one person can’t realistically be in four rooms at once.

The exhibit floor
Two distinct sets, shot at two distinct times. Clean booth frames during the quiet window before doors, then traffic and staff engagement once the floor is live.

Headshot station
A sponsored headshot station is one of the highest traffic activations you can put in a booth. Consistent lighting for every attendee, a line that moves, and files in their inbox before they leave the floor.
It doubles as a lead capture tool, which is why sponsors renew it.

Onsite printing and social
Onsite printing and photo marketing turns a photograph into a branded takeaway and a post that happens while your show is still trending, not next week.
Green screen and step and repeat activations run from the same station.
Evening receptions and the awards dinner
Low light, moving people, and the frames your attendees actually share. Awards, sponsor toasts, the room during the band, and the group shots your board will ask for.

Same day delivery
Selects are edited between sessions and posted while the program is still running. The complete gallery is finished the same day the show ends, foldered by day, by session and by sponsor.
That single thing wins us more repeat business than anything else we do.

FAQ: What planners ask before they book
What does a convention photographer actually do?
More than photograph the keynote. A full program means the empty hall before load in, registration, general sessions, breakouts running concurrently, the exhibit floor shot twice, a headshot station, evening receptions and the awards dinner, then editing between sessions so selects are posted while the show is still running.
How many photographers do we need?
It depends on how many rooms run at once. One photographer covers a single track comfortably. The moment your general session and exhibit floor overlap, or four breakouts run in parallel, you need a second. We tell you which when we see the run of show, rather than selling you the larger number by default.
What drives the cost of convention photography?
Four levers: number of days, number of photographers, hours per day, and how fast you need files. Send your run of show and we come back with a scoped number, not a range.
How fast do we actually get the photos?
Selects between sessions, posted the same day. The complete gallery is finished the day the program ends.
Do we own the photos?
You get full usage rights: print, web, social, next year’s promotion and sponsor recaps. No per image licensing and no reuse fees appearing later.
Can you provide a certificate of insurance?
Yes. Professional liability, with a certificate naming your venue as additional insured, usually back within one business day of the request.

How far ahead should we book?
As soon as your venue is contracted, especially if your dates fall on a citywide. Outside those windows we can often take shorter notice.
Do you only work in Texas, or cover events nationwide?
We cover events nationwide and internationally. Texas is where our offices are, but a large share of our work happens out of state, and every project is quoted as one clear number up front.
Will our photos be used to advertise your business?
Only with permission. Many clients are happy for their event to appear in our portfolio, some are not, and a few have restrictions on which frames. Tell us at booking and we will honor it.
