How we work with Phoenix meeting planners and convention managers

Most of the people who hire us in Phoenix are meeting planners, event planners, association executives and convention managers splitting a program between the Phoenix Convention Center downtown and a Scottsdale resort. Here is what you need before you put a photographer on the RFP.

Multi day conference coverage

A three day Phoenix annual meeting is quoted as one engagement, with hourly coverage across the whole program rolled into a single clear price. Send the run of show and we build around opening reception, general sessions, breakouts, the exhibit hall and the closing gala.

Second photographers when rooms overlap

When breakouts run concurrently or the gala overlaps a sponsor event, we add a second photographer from a small team trained in house rather than subcontracting to whoever is free that week.

Same day turnaround and deliverables

FAQ: Questions Phoenix planners ask

Do you actually shoot in Phoenix, or are you subcontracting it?

We shoot it. Joseph Rodriguez has been photographing conventions since 1987 and is on site for most Phoenix bookings. For multi room programs that need several photographers at once, he brings a small team he trained himself and runs the job in person. You will always know before the show who is holding the camera.

Are you based in Phoenix?

We provide dedicated Phoenix and Scottsdale convention and event photography coverage as part of our nationwide client base, using the same experienced production team and proven workflow on every booking.

How fast do we get the photos?

Selected edited frames go to your shared folder throughout the show, so your social and press team can post while the hashtag is still live. The complete gallery is finalized the same day. That single thing wins us more repeat business than anything else we do.

Can you cover the Phoenix Convention Center and a resort on the same program?

Yes, and it is common. Many Valley programs split between the Convention Center downtown and a resort property in Scottsdale or North Phoenix. We build the run of show around both and move with your attendees.

What does a Phoenix headshot station cost to add?

It is quoted as an add-on to the main coverage rather than a separate booking, because we are already on site with the crew and the lighting. Tell us your expected volume and hours and we will scope it. A sponsored Phoenix headshot lounge is usually the highest traffic driver a booth can run.

Do you do on-site printing at the booth?

Yes. Branded prints handed to attendees on the floor, plus a live feed to your marketing team. It works best when the print design is agreed a week or two out so the template is ready before doors open.

Do you carry insurance and can you provide a certificate?

Yes. Professional liability, with a certificate naming your venue as additional insured, normally within one business day of the request. Phoenix Convention Center and the major resorts all require one.

Can you photograph medical and healthcare conferences?

What about video at the same event?

We shoot 4K video alongside the stills on the same booking, with one crew and one invoice. You can take the footage raw for your own editor or have us deliver a finished edit, both are available, and we will quote whichever you need.

How far in advance should we book Phoenix?

Peak Valley season runs roughly January through April and the good crews go early. If your dates are inside that window, talk to us as soon as the venue is contracted. Outside it we can often accommodate shorter notice.

Do you photograph exhibitor booths before the show opens?

Yes, and it is the right way to do it. Clean booth frames are shot during the quiet window before doors, then we come back for traffic and staff engagement once the floor is live. You get both, and exhibitors use both differently.

Will our photos be used to advertise your business?

Only with permission. Many clients are happy for their event to appear in our portfolio, some are not, and a few have restrictions on which frames. Tell us at booking and we will honor it.
