Austin Headshot Station and Headshot Lounge for Conferences and Trade Shows

A headshot lounge is one of the busiest stops on any Austin exhibit floor. Attendees line up for a free professional headshot, and your team collects their contact details while they wait.

We keep an Austin location downtown, and our Austin headshot stations have run everywhere from a sponsor booth to a full headshot lounge on the Austin Convention Center exhibit floor at the AAAS Annual Meeting. With the convention center being rebuilt until 2029, Austin conferences now spread across the Palmer Events Center and the downtown hotel ballrooms, and a headshot station fits any of them: a prefunction foyer, a sponsor lounge or your booth on the show floor. Every project is quoted as one clear number up front.

25 to 30 an hour

Each station photographs 25 to 30 attendees an hour, up to about 300 in a full show day.

10x10 footprint

Fits a 10x10 space, with 10x20 more comfortable for longer lines.

Instant email

Attendees receive their headshot by email before they leave the booth.

How an Austin Headshot Station Works

01

Conference Headshots That Bring Traffic to Your Booth

Attendees place real value on a quick, premium headshot. A headshot station draws a steady stream of visitors to your exhibit, and collecting an email address to deliver the photo becomes a natural, welcome part of the experience rather than a cold ask.

02

A Studio Setup for a Show Floor or Hotel Foyer

Softbox lighting, a clean or branded backdrop and tethered capture bring a real studio to the room. The setup works as well in a hotel prefunction space as it does on an exhibit floor, so your convention headshots look like they were taken in a studio, not a hallway.

03

Real Time Email Delivery

Attendees type in their email at the station and receive their headshot within moments. If the venue wifi slows down, nothing is lost: we hold the emails and send them as soon as the connection catches up.

04

A Branded Headshot Lounge

Backdrops, step and repeat branding and the delivery email itself can carry your logo, so every attendee leaves with a reminder of your booth or your sponsor.

05

Association and Member Events

Beyond trade shows, we run headshot lounges at association annual meetings and member conferences as a standalone member benefit or a sponsor branded activation.

A Professional Headshot Booth Staffed by a Real Photographer

Planners often ask whether our headshot booth is a self serve kiosk. It isn’t. Every station is run by an experienced photographer who poses each attendee, checks expression and lighting before the image goes out, with retouching available as an option. That is the difference attendees notice when they compare event headshots from a kiosk with a portrait they will actually use on LinkedIn. Whether you call it a headshot station, a headshot booth or a headshot lounge, the setup is the same: studio lighting, tethered capture and real time email delivery, sized to the traffic you expect.

Austin Venues Now Hosting Conferences

Since the Austin Convention Center came down for its rebuild, programs that used to sit in one hall now run across the Palmer Events Center, the Fairmont Austin, the JW Marriott Austin, the Hilton Austin and the Austin Marriott Downtown, often at the same time. We already photograph conferences at the Fairmont Austin, the JW Marriott Austin and the Palmer Events Center, so we plan the station’s spot, power and line with your venue well before load in, and the line never blocks a ballroom door.

FAQ: Austin Headshot Station Questions

Why does your experience matter for a headshot station?

Thirty-nine years of running headshot stations means we know how to keep a line moving, how much time each portrait actually needs, and how to keep quality consistent from the first attendee in the morning to the last one before tear down. That experience is the difference between a station that feels premium and one that feels rushed.

Do you run Austin headshot stations with your own team?

Yes. We keep an Austin location downtown, and your headshot station is planned and staffed by our own experienced team with proven workflows, the same people who photograph our Austin conferences.

The Austin Convention Center is closed. Where can a headshot station go?

Anywhere your program is running. The Palmer Events Center works well for exhibit floors, and downtown hotels such as the Fairmont Austin and the JW Marriott Austin have prefunction foyers and sponsor lounges that suit a headshot lounge. The new convention center is scheduled to open in 2029.

Is a headshot station the same as a headshot booth or headshot lounge?

Yes. Planners use all three names for the same thing: an onsite studio with professional lighting where attendees get a polished headshot during the event. A headshot lounge usually describes a larger, branded space with seating for the line.

Are the headshots retouched?

Headshots are delivered unedited as standard, and retouching is available as an option. It can be included in your contract for every attendee, or, with your approval, attendees can request retouching of their own photo from their delivery email. Pricing depends on the size of your program, so we include it in your quote.

Is your headshot booth a self serve photo booth?

No. A photographer runs every session, poses each person and checks every image before it is emailed, which is why the results hold up as professional headshots.

How many people can a headshot station photograph in a day?

One station photographs about 25 to 30 attendees an hour, which comes to around 300 over a full show day. Adding a second station roughly doubles that when you expect heavy traffic.

What space, power and wifi does a headshot booth need?

A 10 by 10 space works as a minimum, and 10 by 20 is more comfortable when you expect a line. We need a power outlet close to the station. A strong wifi connection lets attendees get their photos within moments. If the wifi is slow, nothing is lost: we hold the emails and send them as soon as the connection catches up. Setup takes about an hour and a half and tear down about an hour, so we plan load in around your show hours.

Do you provide the equipment and backdrop, or do we need to supply anything?

We bring the complete kit to your Austin venue: studio lighting, backdrop, tethered camera, laptop and the email delivery setup. All we ask from you is the floor space, a power outlet close by and a wifi connection, and our Austin team handles setup and tear down around your show hours.

Do attendees receive their photo the same day?

Yes. Each attendee receives their headshot by email in real time, usually before they leave the station.

Can the headshot station be branded to match our booth or event?

Yes. Backdrops, step and repeat signage and the delivery email can all carry your branding or your sponsor’s.

Can a headshot station work as a member benefit at an association meeting?

Yes. A free professional headshot is a popular member perk, and a station near registration or in the exhibit hall gives members a reason to stop by between sessions. Every member who sits for a headshot enters their email to receive it, and that list comes back to your team after the meeting.

Can we combine a headshot station with our other Austin event photography?

Yes. A headshot station pairs easily with general session, breakout and exhibit hall coverage on the same booking, and the whole program is quoted as one clear number.

Do you offer group or team headshot sessions in addition to a station?

Yes. We can photograph your staff or leadership team at your Austin office, in a hotel meeting room or at the venue before the doors open. We use the same lighting and backdrop as the event station, so your team photos and attendee headshots look like one consistent set.

What is included in headshot station pricing?

Every Austin headshot station is quoted as one clear number built around your program. The main factors are the hours the station runs, how many stations you need, custom branding, lead capture for sponsors and whether optional retouching is included for every attendee.

Do you provide a certificate of insurance for the venue?

Yes. We carry professional liability coverage and can provide a certificate naming your Austin venue as additional insured before load in.

How far in advance should we book an Austin headshot station?

As soon as your dates and venue are set. Booking early lets us reserve the team and plan the station’s location, power and line with your venue ahead of time.
