Twenty Three years. One Client. Every Host City
JW Marriott San Antonio Hill Country Convention Photographer: 23 Years, One Client, 1,200 Attendees
A 1,200 person convention is not one job, it is a week of them. When 7×24 Exchange, the national association for mission critical data center reliability, brought its Fall 2025 conference to JW Marriott San Antonio Hill Country, they hired Professional Images Photography, the same team they’ve used since 2003. Twenty three years, every host city, no exceptions. This time the convention landed a few miles from our studio, which meant a national client got local backup on top of the coverage they already trust. Here is what a multi-day convention with exhibitor booths, keynotes, and sponsor lead generation actually requires.

A Multi-Day Convention Is a Different Animal Than a One-Day Conference
First and foremost, a 1,200 person convention runs on a schedule most one-day events never see. This program opened with a Welcome Reception, moved through a keynote titled The Future Is AI First, and split into Monday and Tuesday breakout tracks covering everything from digital twins for data center AI to small modular reactors as a power source. Coverage has to follow that schedule exactly, not loosely.
Additionally, a convention layers in programming a single general session never has to handle: a Women in Mission Critical Operations panel and networking reception, a Marquis Plus partner showcase called Light It Up, and a sponsored offsite excursion to the State Fair of Texas. Each of those needs its own lighting plan and its own photographer on the clock, sometimes at the same hour.
That kind of week is exactly why a client sticks with one photographer for twenty years instead of re-bidding it every year.
Twenty Three Years, Same Photographer, Every Host City
Furthermore, 7×24 Exchange has hired Professional Images Photography exclusively since 2003. That is twenty years and dozens of host cities, because the association’s conferences rotate to a new city each year, and we travel with them every time.
Moreover, this year the rotation happened to land minutes from our studio. That is not why we got the call. We got the call the same way we have for twenty three years, because a client who tested other photographers at the start stopped testing once they found one that never missed.

Hiring a Photographer for Next Year’s Convention?
If your association rotates host cities every year, the value of one photographer who already knows your program outweighs whatever a local vendor might save you on travel.
Exhibitor Booth Photography at Trade Show Scale
As a result, an exhibitor hall this size is its own project. Sponsors on a program like this expect booth photography that shows real traffic and real conversations, not an empty booth shot before doors open, which means working the floor during peak hours, not before them.
Equally important, the partner showcase event and the exhibitor floor both need images sponsors can use in their own marketing within days, because their internal deadlines do not wait for a convention wrap-up.

Headshot Stations That Turn Booth Traffic into Qualified Leads
In practice, a headshot station at a convention like this is not a courtesy amenity, it is a sponsorship activation. The association hires us, a sponsor funds the station, and every attendee who steps in front of the camera becomes a qualified, opted-in lead for that sponsor’s sales team.
However, that lead only has value if delivery keeps pace with the line. We built our own software to email each attendee a finished, branded headshot in real time, before they have even stepped away from the booth, not a download link they forget once the show floor closes.
At scale, we run this same setup nationally and internationally, adding Headshot stations whenever a show’s traffic demands it, so a sponsor’s line never becomes the reason booth traffic drops off.
“They have shot every one of our conferences since 2003. We do not send out an RFP for photography anymore. We just call them.”

The Local Advantage: Minutes From JW Marriott San Antonio Hill Country
That said, being local to this particular property matters in ways a national reputation alone does not cover. Our studio sits a few miles from JW Marriott San Antonio Hill Country, so if a card fails, the lead capture tablet needs a reset, or the schedule shifts mid-morning, we can be back with a fix inside the hour instead of catching the next flight out.
Beyond that, planners booking a conference at this resort get a photographer who already knows the ballroom lighting, the load-in logistics, and the loading dock, on top of twenty three years of national convention experience. Local knowledge and national reliability are not usually the same vendor. Here, they are.
Corporate Conventions Only, for Thirty Nine Years
Finally, none of this happens by accident. Professional Images Photography has spent thirty nine years, across four locations, working exclusively in corporate conference and convention photography.
39 Years. Four Locations. Corporate Conventions Only.
We do not shoot weddings, family portraits, senior portraits, or quinceañeras. A planner searching for a JW Marriott San Antonio Hill Country event photographer or a national convention photographer is looking for that kind of focus, and it is the only kind of work on our schedule.
